Information Audit.

The Crown Estate

Audit personnel were deployed to client sites to carry out a detailed survey of over 13 km of physical and large quantities of electronic records prior to the relocation of their headquarters to a new open plan office, with limited physical storage space.

The subsequent findings were then used to implement a programme of work designed to change document and record storage working practices.

The new methodologies and practises which our teams helped to identify are still in use today.

 
East Sussex County Council

ADSL were awarded the contract to carry out a full audit on all hard copy documentation held by the council at their eight sites throughout East Sussex as part of their “Agile Working” initiative.

Document location, type, relevance and retention requirements were identified for each separate service provider.

Following the successful handover of our reports not only were we contracted to implement the recommended future actions but we were also
asked to carry out a similar exercise for East Sussex Fire and Rescue sites.



Conversion

Network Rail

Between 1999 and the present time, NWR outsourced large scanning and metadata projects, which were successfully managed and delivered by the ADS executive management team, resulting in images of 20 million documents/drawings and their associated metadata being uploaded to their corporate systems.

London Borough of Croydon

As part of LBC’s Agile Data programme, our management team were responsible for the provision of a cradle to grave solution relating to the records of all of their departments, this included sensitive information such as social care and confidential personnel records, which were located within 14 buildings throughout the borough.

Approximately 14 million records were addressed and the resultant images and associated indices were successfully uploaded into the council’s system.


British Geological Survey

We were awarded a contract for the scanning of important and valuable hardcopy which included Site Investigation Reports, Drill Logs and 12,000 Well Logs between 7 and 23 metres in length.

Due to the nature of these records and to adhere to the stringent TNA requirements our own in-house developed specialist scanning techniques were
successfully implemented.



Storage/Destruction

The Crown Estate

As part of the work scope for a three year long project which rationalised, recorded and scanned the files relating to all of the property and land owned by TCE in Scotland, high security storage followed by confidential file destruction was carried out.

Our in-house developed procedures ensured no damage or loss to the documents and that destruction was only carried out after client approval had been gained and fully recorded.



CAD/GIS

Highways Agency

We were responsible for managing and delivering scanning, CAD conversion and geospatial data capture for all drainage records held for England by The
Highways Agency.

The drainage data was geo-referenced in order to provide a mapped image that could interactively demonstrate flow direction and drainage ejection points in a real time environment.

The deliverable was uploaded to The Highways Agency’s drainage data management system (HADDMS), which provides Highways Engineers with a
Geo-Referenced set of drawings, for each road scheme, placed in a context of real space and time.

Ultimately the Highways Agency plan to provide their drainage engineers with remote computer systems, so that the web-based drainage GIS could be accessed in the field, at any time.


WS Atkins

As part of our ongoing service contracts with Network Rail, we managed and delivered a CAD conversion service for drawings used by sub-contractors
during The West Coast Modernisation Project.

Existing hard copy drawings were scanned and subsequently converted to the required CAD formats to allow for modifications to be updated in real time.



Asset Audit/Register

EDF

After a successful competitive tender we were contracted to carry out an Asset Audit for EDF’s windfarms in the U.K.

Our audit teams visited each windfarm and recorded and photographed assets located in buildings and turbines which formed part of the site.

As well as producing a comprehensive, interactive Asset Register a full report detailing the identification, current status and immediate or future recommendations for all equipment was produced and delivered.

EDF used these deliverables to form the base line for planning future, safety critical, actions required to ensure conformance to industry standards.

Rydges Hotel Group

We successfully completed a full Asset Audit for this large London hotel group as part of their  reorganisation and rationalisation
project.

All the fixed assets were recorded and an interactive Asset Register was produced and delivered to the client within tight time constraints.

The register not only detailed all of the assets but also contained calculations to show areas such as depreciation and replacement value.



Operation & Maintenance Manuals

We are currently contracted by the ALS group to produce the O & M’s for all of their new build and refurbishment projects.

Interactive electronic and traditional hard copy manuals are produced and we are expecting to complete in
excess of 100 manuals per year.
